Changes & Updates to CMS
As of January 27th, workflows in the CMS have been removed. The purpose was to make the publishing web pages easier for users and have better control over content. Please review the changes and updates to the publishing process. Should you have any questions or want to schedule a walk-through, contact lrosado@uchc.edu.
Deleting Content
Web pages and content items can now be deleted. Removing item can be done from the Home menu tab or by right clicking on a web page, component, document, or image and selecting the Delete button. Deleted items go into your Recycle Bin and can be retrieved if removed by mistake.
Tips for Deleting Content
- Newly created and unpublished content can be deleted
- Content that has already been published must be Unpublished before it can be deleted
Publishing
With the removal of the Workflows you must publish each item associated with the web page. Publishing can be selected from the Publish tab (Dropdown option: Publish Item) in the Content Editor or Publish from Home tab in the Experience Editor.
Item that need to be published:
- Images
- Documents
- Components
Tips for Publishing Content
- Use Publish Item in the Content Editor or Publish in the Experience Editor
- Review your Publishing settings
- Publish Images and Documents when they are first uploaded into the CMS
- Items set to Unpublished need to be published after saving
Replacing Documents
It is better web practice to replace files than to upload a new document. When a document is replaced the new file takes the old file name and any links to the document remain in place.
Steps for Replacing Documents
- Select a document from the Media Library
- In Content Editor select the Media tab in the content details section
- Select Attach and browse to the file on your desktop
- Publish the file with it's related content.
Workflows Removed
Workflows have been removed which means Editors and Approvers have the same access. Items can now be published directly from Content Editor or the ExperienceEditor.
Tips for Publishing Content
- Use Publish Item in the Content Editor or Publish in the Experience Editor
- Review your Publishing settings
- Publish Images and Documents when they are first uploaded into the CMS
- If changing a file name or left navigation publish the entire folder and sub items
